Privacy Policy
Fleet safety runs on sensitive data: where a vehicle is, how it is driven and what happens inside the cabin. This policy explains what we collect, why we collect it, who can see it and how long we keep it.
01 Who this policy covers
This policy applies to fleet owners and their staff who use the platform, to drivers whose vehicles carry our trackers, dashcams or fuel sensors, to customers who open a live ETA link, and to visitors of this website.
Fleet owners decide which vehicles and drivers are connected and how the platform is used. For driver and vehicle data, the fleet owner is the party that determines the purpose of processing, and we process that data on its instructions.
02 Data we collect
- Vehicle data: GPS position, speed, heading, ignition status, odometer, battery voltage and motion sensor readings.
- Dashcam event data: short video clips and still frames recorded around a detected safety event, the event type, time and place.
- Fuel data: tank level readings from fuel sensors and refuel records imported from fuel card statements.
- Driver data: name, phone number, licence details entered by the fleet owner, trips driven, reviewed events and safety score.
- Account data: name, work email, company, role and login activity of fleet staff.
- Website data: information you submit in our sign-up and contact forms, and basic technical logs such as IP address and browser type.
03 How dashcam AI works with personal data
The AI runs on the camera to detect safety events such as closed eyes, yawning, phone use, a missing seatbelt, smoking and tailgating. It does not identify who the person is and does not use face recognition for surveillance.
The camera does not stream video continuously. It saves short clips around detected events. Fleet owners must inform drivers about the camera, what it detects and how clips are used before the camera is switched on.
An AI alert on its own is never used to penalise a driver in the platform. A person authorised by the fleet owner must review the clip first.
04 How we use data
- To show live vehicle positions, trips, alerts and reports to authorised fleet staff.
- To give in-cab voice alerts and coaching tips to drivers.
- To calculate driver scores, fuel consumption, mileage and maintenance schedules.
- To share a live ETA with a customer when the fleet owner creates a link for a trip.
- To respond to sign-up and sales enquiries and to create login credentials.
- To keep the platform secure, fix faults and improve detection accuracy using reviewed and de-identified event data.
05 What we never do
- We never sell vehicle, driver or video data.
- We never use dashcam clips for advertising.
- We never share a fleet owner data with another fleet owner.
06 Retention
Event video clips are kept for the retention period set on the fleet plan, which is 30 days on HCV and up to 180 days on Trailer Convoy, and are then deleted automatically. A clip linked to an incident report can be kept longer by the fleet owner for a claim or legal process.
Trip history is kept for the period included in the plan. Account and billing records are kept as long as required by tax and accounting law.
07 Who can see the data
Only staff that the fleet owner authorises can see vehicle and driver data, with access set by role. Video clips are visible only to staff given safety review rights. Drivers can see their own score and the events behind it in the driver app.
We use carefully selected service providers for cloud hosting, mobile network connectivity and email delivery. They process data only to provide those services to us.
08 Security
Data is encrypted in transit between devices, servers and apps, and encrypted at rest on our servers. Access by our own staff is limited, logged and reviewed. Devices are sealed and report tampering or power cuts as events.
09 Your rights
Under the Digital Personal Data Protection Act, 2023 and other applicable law, you may ask to access, correct or erase your personal data, and to withdraw consent where processing is based on consent. Drivers should first contact their fleet owner, who controls their data. We will support the fleet owner in responding.
You can raise a privacy request or a grievance through the Connect with sales page. Please mention that your message is a privacy request.
10 Cookies
This website uses only the cookies needed to run it, such as a session cookie for the sign-up and contact form check. We do not use advertising cookies.
11 Changes to this policy
If we change how we handle personal data in a meaningful way, we will notify fleet owners by email before the change takes effect.
